Purchasing, discounts and invoicing
Firm-specific pricing
Dynamic pricing based on specific attributes such as company affiliation may be possible, but discussion of the specific rules around this requirement will be necessary to confirm.
The default approach for discounting is code based. Coupons created under Payments > Coupons apply a percentage or fixed-amount discount, and customers enter the code to receive a discounted rate. Each firm could be provided with a specific code for use with employees.
A coupon can have:
A percentage-based or fixed-amount discount, in your organization's currency.
Optional start and end dates. Without an end date, the coupon stays active indefinitely.
Usage limits: a cap on total redemptions, a limit of one use per customer, and a restriction to selected products, prices, or variants.
Coupons work at checkout on funnels, forms, the ecommerce store, payment links, calendars, and websites. They are not supported on invoices and estimates. Usage history and redemption counts are available on each coupon, and changes to a coupon affect future uses only, so orders that already used it stay unchanged. For events, member and non-member pricing is available. Coupon setup and behavior are covered in Create and manage coupons.
Online store
JourneyCARE offers a customizable e-commerce store for organizations that prefer a shopping cart/checkout style experience. The ecommerce feature is not required for most organizations as other alternatives to sell items exist such as forms, invoices, quick pay links, etc.
If an organization does choose to use the store feature, products are created under Payments > Products > + Create Product with one-time or recurring pricing, variants with their own prices, inventory tracking, and tax settings. Turning on Include in Online Store makes a product visible in the storefront. Product setup is covered in Create and sell products.
Completed orders are listed under Payments > Orders and can be exported as CSV with customer, payment, discount, coupon, status, product, tax, and address fields. See Export or download orders as CSV.
Purchases are recorded on the contact who made the purchase. If the purchase needs to be recorded at the company level, this could be accomplished through an automation that records a note or custom object record.
Invoice changes
Invoices are created under Payments > Invoices & Estimates and sent by email or text. Invoice statuses include Sent, Overdue, Paid, and Not Sent. For billing in installments, payment plans use Add payment schedule with fixed or percentage installments. Invoice creation is covered in Create and send an invoice.
To correct the company information on an existing invoice, update the contact's company first, then refresh the invoice. Re-adding the client pulls the contact's updated company information onto the invoice:
Open the contact record for the person billed on the invoice and change the company to the correct organization.
Open the invoice and clear the client.
Add the client back in. The invoice pulls the contact's refreshed company information.
Review the client and company details, then click Save.
The full procedure is in Change the client on an invoice.
An invoice can be edited until it is paid. After being paid, it is locked.
Abandoned carts
Abandoned checkouts are identified and tracked under Payments > Orders > Abandoned Checkouts. You can search by customer name or email, filter by Email Status, Recovery Status, or date range, and export customer, cart, product, activity, and recovery details to CSV. Exports over 5,000 records are delivered by email.
Automated follow-up runs through workflows. The Coupon Code Applied trigger fires the moment a coupon code is applied at checkout, whether or not the customer completes the order, so follow-up actions such as sending an email or an internal notification also run on abandoned checkouts. Abandoned-cart notifications are managed with Configure Notifications on the Abandoned Checkouts page. See Coupon Code Applied workflow trigger and Export or download orders as CSV.
