Automate Opportunities with Workflows
Automate repetitive opportunity tasks—like sending follow-up emails, updating opportunity statuses, or assigning leads to team members—by building a workflow in JourneyCARE's Automation section. Every workflow combines a trigger that starts the automation with actions that run automatically. For a general introduction to how triggers and actions work together, see Workflows Overview. Identify Repetitive Tasks
Start by identifying tasks or processes in your sales workflow that are repetitive and time-consuming. Common candidates include sending follow-up emails, assigning leads to team members, scheduling appointments, and updating opportunity statuses. The tasks you choose will determine which trigger and actions you need.
Create the Workflow
Build your automation in the workflow builder.
In the left navigation, click Automation.
Click Workflows to open the workflow builder.
Click Create New Workflow.
Give the workflow a descriptive name that reflects its purpose.
Choose a Trigger Event
A trigger is the event that starts the workflow. For opportunities, this could be an action taken by a lead—such as filling out a form, clicking a link, or reaching a certain stage in the sales pipeline. JourneyCARE offers five opportunity-specific triggers, and each can be filtered by standard and custom fields linked to the opportunity. Opportunity Status Changed — Trigger a workflow when an opportunity's status is updated. Filter on any standard or custom field linked to that opportunity.
Opportunity Created — Trigger a workflow when a new opportunity is created. Filter by any standard or custom field linked to the opportunity being created.
Opportunity Status Changed (with filters) — Filter opportunities where there has been a change in status, with additional filters to narrow which status changes qualify.
Stale Opportunities — Filter opportunities where there has been no change for a specified number of days. These can also be filtered by different standard and custom fields.
Pipeline Stage Changed — Trigger a workflow when a pipeline stage is changed. Filter based on multiple opportunity standard and custom fields.
Add Workflow Actions
Actions run automatically when the trigger event and its conditions are met. Opportunity-related actions include finding an opportunity linked to a contact, creating a new opportunity, updating opportunities, and more.
Create Opportunity — Create an opportunity with specified values. You can set multiple fields, including Pipeline, Pipeline Stage, Opportunity Name, Opportunity Source, Opportunity Status, and Lost Reason. For creating opportunities manually outside a workflow, see Create an Opportunity.
Remove Opportunities — Remove the filtered opportunity from a specific pipeline.
IF/ELSE — Fork the workflow based on a condition. You can only use opportunity fields in the filter if the workflow has an opportunity-based trigger. All standard and custom fields can be used to filter each branch.
Test and Refine
Before activating the workflow, test it to confirm it works as intended. Trigger the workflow using test leads or dummy data, and verify that each action runs correctly. Monitor the workflow's performance, gather feedback from team members, and make adjustments based on what you find. To see which path a contact took through the workflow, review the workflow's Enrollment History.
Activate the Workflow
Once you are satisfied with testing, set the workflow status to Published to start automating. JourneyCARE will automatically trigger the workflow whenever the specified conditions are met, ensuring repetitive tasks are handled efficiently and consistently.
