Workflow filters and Smart Lists
Find workflows with one-time Advanced Filters, or save a filtered view as a Smart List when you need to reuse it.
Filter workflows with Advanced Filters
Use Advanced Filters when you need to narrow the Workflows page for a single review without saving the view.
Navigate to Automations > Workflows.
Open Advanced Filters from the top-right of the Workflows page.
Choose a filter type, operator, and value. You can filter by triggers, actions, tags, workflow status, last updated date, or the person who last modified the workflow. Available source-named status values include Published and Draft; source-named operator examples include equals, contains, and does not contain.
Combine filters when you need more than one condition. Use + And Condition when all selected filters must match, Or Condition when at least one selected filter must match, or + Add Filter Condition to add another condition.
Delete an unwanted filter with its trash icon.
Click Apply to display the workflows that match your filters.
Click Discard Changes after applying filters when you want to remove those filters and reset the view.
Save and reuse a Smart List
Save a filtered workflow view as a Smart List when you want to return to the same filters later.
Navigate to Automations > Workflows.
Start the Smart List from either path: apply Advanced Filters first, then click Save, or click + Smart List and add the filters.
Choose the filter type, operator, and value for each condition. You can use triggers, actions, tags, workflow status, last updated date, and the person who last modified the workflow.
Combine conditions with + And Condition, Or Condition, or + Add Filter Condition. Use the trash icon to remove a filter.
Click Save to save the view as a Smart List.
Saved Smart Lists appear at the top of the Workflows page. Click a saved list to reapply its filters.
Manage a saved Smart List
Use Customize List to change a saved list's filters or delete the list.
Open the saved Smart List from the top of the Workflows page.
Open Customize List.
Modify the filters or delete the Smart List.
Click Save to save changes to the list.
Smart List visibility
A Smart List created by a user is visible to its creator and admins. A Smart List created by an admin is visible to admins, not regular users.
Upgrading to admin grants access to admin-created Smart Lists. Downgrading to user leaves access to Smart Lists you created personally.
