Smart lists in Companies
A company Smart List is a saved company view that keeps your Advanced Filters, sort order, and selected visible fields, so you can reopen the same setup whenever you need it. Start from Contacts > Companies and click +List to create one.
What a Smart List saves
A Smart List stores the configuration of the list you created: your Advanced Filters, sort order, and the selected fields shown in the view. Opening it later gives you the same view, with up-to-date company data.
Companies are automatically added to or removed from a Smart List as their field values change — no manual refresh required.
Common Smart Lists include:
Companies not updated recently
High-value accounts, such as those with MRR above a threshold
Accounts in a specific industry or tier
Companies assigned to a specific owner or team
Enterprise accounts due for renewal
Enable company Smart Lists first
Company Smart Lists must be enabled in Subaccount Labs before they can be used.
Create a Smart List
Create a Smart List when you want to reuse the same company view instead of rebuilding filters, sorting, and field selections every time.
Go to Contacts > Companies.
Click +List.
Apply the setup you want: Advanced Filters, sort settings, and visible fields or managed fields.
Enter a name for the Smart List.
Save it. The new Smart List appears.
Edit a Smart List
Update an existing Smart List's filters, sorting, or visible fields at any time.
Open the Smart List.
Change the filters, sorting, or visible fields. Once changes are made, the system shows Unsaved Changes.
Choose how to handle the changes:
Save — updates the current Smart List.
Save as new smartlist — creates a new Smart List from the updated setup, preserving the original.
Discard Changes — removes the unsaved edits.
Use Save when you want to overwrite the current configuration, and Save as new smartlist when you want to keep the original and create a new version.
Duplicate a Smart List
Duplicate a Smart List to quickly create a similar view, such as variations for different teams, without rebuilding it from scratch.
Open the Smart List.
Click Customize list.
Select Duplicate.
Give the duplicated Smart List a new name.
Save it.
Export a Smart List
Export the company records currently shown in a Smart List when you need them outside JourneyCARE.
Open the Smart List.
Click Customize list.
Select Export.
The exported file contains the companies returned by the Smart List's current setup.
Manage all Smart Lists
Review every Smart List in one place when you want to clean up duplicate views, check sharing, or keep your lists organized.
Go to Companies.
Click the three-dot (upside-down ellipsis) menu in the top right.
Select Manage Smart lists.
The management page shows each Smart List's name, which users it is shared with, who created it, and when it was last updated.
Share a Smart List
Share a Smart List with other users so your team works from the same saved view.
Open the Smart List.
Click Customize list.
Select Sharing & Permissions.
Choose All users or Selected users.
Choose an access level: Can view or Can edit.
Save the sharing settings.
You can also copy a direct link to the Smart List and share it.
Can view lets users open and use the Smart List. Can edit lets users modify the Smart List configuration. Be careful when granting edit access: users with edit permissions can change the Smart List setup and its sharing settings.
Delete a Smart List
Delete a Smart List when it is no longer needed.
Open the Smart List.
Click Customize list.
Select Delete List.
Confirm the deletion.
Only delete a Smart List that is no longer needed, especially if it is shared with other users.
