Record a credit or credit memo
JourneyCARE does not have a credit memo feature. When a member is owed a credit, record it one of three ways instead: issue a full or partial refund, create a coupon code worth the credit, or send a gift card in the credit amount.
Option 1: Issue a refund
A refund returns money to the member's original payment method, in full or in part. Refunds work for transactions made through Stripe, Authorize.net, NMI, and PayPal, including Google Pay, Apple Pay, and card payments. Multiple partial refunds are allowed as long as the cumulative amount does not exceed the original transaction amount.
Open Payments > Transactions.
Click the three dots next to the payment you want to refund.
Click Refund. For a full refund, keep the pre-populated amount; for a partial refund, edit it to the credit amount.
For details on refund timing, notes, and provider limits, see Issue refunds.
Option 2: Create a coupon code
A coupon gives the member a discount on a future purchase. Create a fixed-amount coupon for the credit amount and limit it to one use per customer. Coupons work at checkout on Funnels, Forms, Ecommerce / Store, Payment Links, Calendars, and Websites, but are not supported on Estimates and Invoices.
Open Payments > Coupons and click Create Coupon.
Enter a Coupon Name for internal reference and a Coupon Code for the member to enter at checkout.
Choose Fixed Amount Coupon and enter the credit amount.
Under usage restrictions, set Limit to One Use per Customer.
Click Create. The coupon becomes active immediately.
For validity dates, targeting, and other settings, see Create and manage coupons.
Option 3: Send a gift card
A gift card works like stored credit: the member enters the code at checkout and the balance applies automatically. Sending delivers a card directly to a contact with no payment involved, and each sent card is a one-time prepaid credit. Sending works only in Live Mode and issues one card to one customer at a time.
Open Payments > Gift Cards and create an active gift card product whose denominations include the credit amount. See Getting started with Gift Cards.
Click Send on the card, choose the member's contact or Add a Contact, and add an optional message.
Choose a delivery method (Email, SMS, QR Code, or PDF) and delivery timing, then click Send Gift Card.
For the full delivery flow, see How to send gift cards.
