Automatically create and associate companies from email domains
Turn on the domain-based company automation and JourneyCARE checks each contact's email domain whenever a contact is created or their email address is updated. If the domain matches a company's domain, the contact is associated with that company. If no company matches, a new company is created and enriched with the Company Name and Logo. Enable it once in Settings > Labs, then configure it under Settings > Objects > Companies.
How the automation works
The automation runs whenever a contact is created or a contact's email is updated, and it resolves each contact in one of three ways.
Match an existing company — the contact's email domain is compared against the Company Domain Name field on companies. On a match, the contact is associated with that company.
Create a new company — if no company matches the domain, a new company is created and associated with the contact.
Reuse a company without a domain — before creating a new company, the automation checks existing company records. An existing company that matches but has no domain yet can be identified, its domain populated, and reused instead of creating a duplicate.
The automation also enriches company records with the Company Name and Logo. Enrichment is best effort: if enrichment details cannot be found, the company is still created.
Enable the feature
The feature is off by default and must be enabled per account in Labs before the company settings become available.
Go to Settings > Labs and look for "Automatic Company Creation & Association by Domain".
Enable the feature.
Go to Settings > Objects > Companies.
Under Automations, choose how the automation should behave:
Enrich companies automatically
Create companies from contact's email domain
Automatically prevent duplicate companies
Add any domains you want ignored under "Exclude domains from automatic association".
Click Save changes.
Rules that apply to every match
A few conditions determine which companies the automation creates, associates, or leaves alone.
Existing associations are respected. Contacts already associated with a company are not automatically moved or replaced.
Common free email providers are excluded. Domains such as Gmail and Yahoo never trigger company creation or association. Add your own domains to the exclusion list under "Exclude domains from automatic association" if needed.
Domain matching is exact. company.com and mail.company.com are treated as two different domains.
Company Domain Name is unique. The new Company Domain Name field has uniqueness enabled by default, so two companies cannot share the same domain.
Manually entered domains are not overwritten. When the domain backfill populates domain information for existing companies, domains you entered manually are left untouched.
Populate domains on existing companies
When you enable the feature, you can optionally populate domain information for your existing companies. This lets the automation match new contacts against companies you already have instead of creating duplicates. Companies you find without a domain after the backfill can have their Company Domain Name filled in by hand, and the automation will reuse them.
The business name automation still works
The existing automation that creates and associates companies from contact business names continues to run alongside the domain-based capabilities; the two do not replace each other. For a walkthrough of that flow, see Import contacts and automatically create companies.
