Invoices in Draft status don't sync — only Sent, Pending, and Paid invoices are pushed to QuickBooks. Open the invoice and send it, confirm the customer exists in QuickBooks (create it there first if it doesn't), and the invoice should sync automatically. If it still doesn't appear, check the QuickBooks integration connection.
Connect QuickBooks
Connect QuickBooks from Settings > Integrations to sync contacts, invoices, and payments between JourneyCARE and QuickBooks. The integration works in both directions: payments and sent invoices in JourneyCARE create and update records in QuickBooks, while QuickBooks contacts and invoices flow into JourneyCARE.
What the QuickBooks integration does
Activity in JourneyCARE creates and updates QuickBooks records, and QuickBooks contacts and invoices sync into JourneyCARE.
JourneyCARE to QuickBooks
Customers are created in QuickBooks when they have activity in JourneyCARE.
Payments made in JourneyCARE — order forms, subscriptions, membership checkouts, and calendar payments — register as sales receipts in QuickBooks, matched to the contact's email.
When an invoice is marked as sent in JourneyCARE, a matching invoice is created in QuickBooks.
Invoice updates continue to sync from JourneyCARE to QuickBooks: invoice number, status (paid, voided, and others), issue date, due date, contact, billing email, invoice total, amount paid, line item names, discounts, and taxes.
QuickBooks to JourneyCARE
Contacts from QuickBooks sync into JourneyCARE, including contacts that already existed in QuickBooks before you connected; new contacts can take up to 5 minutes to appear.
When a contact's first invoice is paid in full in QuickBooks, JourneyCARE sends a review request. This is optional and can be turned off on the integration card.
If you turned on Import invoices when connecting, previously created QuickBooks invoices are imported into JourneyCARE.
Connect QuickBooks from Settings
You need your QuickBooks login credentials and must accept all permissions when prompted.
Open the Settings menu and scroll down to the Integrations section.
In the Integrations list, find QuickBooks and click Connect or Manage to open its configuration page.
Click QB Connect.
Turn on Import invoices if you want previously created QuickBooks invoices imported into JourneyCARE.
Turn on review automation if you want a review request sent when a contact's first invoice is paid in full; you can change this later from the integration card.
Click Connect & Login, sign in with your QuickBooks credentials, and accept all permissions.
Sync limits
Some invoices and statuses intentionally stay out of the sync.
Invoices created before the integration do not sync unless you enabled Import invoices during the initial connection.
Draft invoices do not sync; only Sent, Pending, and Paid invoices are pushed to QuickBooks.
Changes made to imported invoices in JourneyCARE do not sync back to QuickBooks, and importing doesn't create a loop where QuickBooks invoices get re-imported.
Accepting an estimate in JourneyCARE doesn't automatically create the customer in QuickBooks.

Why isn't my invoice syncing to QuickBooks?
How are customers that already exist in QuickBooks handled?
The integration matches on email address. If a customer already exists in QuickBooks with the same email used in the transaction, the existing record is updated and the transaction is associated with that customer. If no matching email exists, a new customer record is created in QuickBooks.
Are taxes and discounts included in synced invoices?
Yes. Synced invoices include the total amount, taxes, and discounts; for US-based organizations, discounts and taxes are adjusted against the item price.
