Transition Members After Launch
Membership activity often spans your old system and JourneyCARE, especially in the weeks around launch. Build lists of the members caught in that overlap, reach out to them with clear instructions, and watch the first 30 days closely: this prevents confusion and reduces the risk of a temporary revenue dip. This guide covers transitional joins, transitional renewals, your first month, and how to label the issues that come up.
Handle transitional joins
Members who joined your organization after the data was exported from the old platform are not in the final import, so they need to be added with complete details.
Create a list of new members who joined after the data was exported from your old platform.
Add their relevant details: membership type, status, join date, renewal date, and the other fields your membership records include.
Handle transitional renewals
Renewals that fall in the migration window can slip through: some were never paid in the old system, and members close to renewal miss the normal reminder sequence that the new process would have sent.
Create a list of unpaid renewals from the old system.
Create a list of members near renewal who will miss the normal reminder sequence.
Send both groups clear instructions with a direct renewal link.
Reconcile payments and statuses after launch so every record matches what the member actually paid.
Manage your first 30 days
Your priority for the first month is access, transactions, communications, and the questions members ask most often. Work through two rhythms: daily attention in week 1, then a broader review through weeks 2 to 4.
Week 1
Monitor login and invitation questions.
Check joining, renewal, registration, and payment activity daily.
Confirm staff notifications and automated emails are arriving as expected.
Record patterns, not just individual questions.
Weeks 2 to 4
Review unresolved migration items and assign an owner to each.
Correct confusing instructions or pages members frequently misunderstand.

Review smart lists, workflow activity, and key transaction totals.
Keep "next improvements" separate from urgent launch corrections so the urgent items get fixed first.
Label issues correctly
Initial questions or confusion do not always mean something is broken. Early issues usually fall into one of three categories:

A training or clarity gap.
A new request outside the original scope.
Labeling each issue correctly helps it reach the right solution faster.
