Prepare for Your Migration
This checklist and the materials list below help you get ready for your JourneyCARE implementation before kickoff, so the project is not delayed by missing decisions, files, or information. The full guide is also available as a downloadable PDF: Guide to Your Migration (PDF).
Complete the readiness checklist
Confirm every item below before or around your kickoff meeting, because each one can hold up the project if it is still open.
Your JourneyCARE agreement is signed and the initial invoice is paid.
Your kickoff meeting is scheduled with the key project participants.
A primary project lead has been named.
A small decision-making group has been identified.
Your hard deadlines are identified, especially the renewal or termination date of your current software.
Your schedule conflicts are identified: competing priorities, required renewal cycles, communication deadlines, team member vacations, and similar commitments.
Start gathering these materials
Begin collecting these items as soon as your migration is planned, so the build and design teams have what they need from the start.
High-resolution logo files, preferably SVG, EPS, or transparent PNG.
Brand guidelines, including required colors, fonts, and usage rules.
Examples of websites you like, and what you like about them.
A list of what works and what does not work on your current site.
A typical member email showing the greeting, tone, signature, and sender details.
An example of the type of continuing education certificate you send, if applicable.
Current process notes, forms, email sequences, price lists, and membership rules.
Names of staff or volunteers who understand joining, renewals, events, continuing education, donations, and sponsorships.
Where your domain is controlled, for example GoDaddy, Network Solutions, or CheapDomains.
How credit cards are currently being processed, so we can assess whether your processor is compatible with JourneyCARE.
Discuss these questions internally
Talk through these questions with your team before kickoff, and note that some answers may need board or committee approval, which takes time to schedule.
What information, pages, or processes no longer serve a clear purpose?
Where do staff members rely on memory, spreadsheets, or workarounds?
Which decisions require board or committee approval, and when can those decisions be made?
What would make this migration feel genuinely successful six months after launch?
When your checklist is complete, your next step is the kickoff meeting.
