Automations and contact activity
Build real-world automations
JourneyCARE automations are built as workflows that combine triggers, actions, waits, and If/Else branches, and you can build membership renewal reminders, event communications, and staff follow-up tasks from those building blocks. See What Are JourneyCARE Automations? for the full walkthrough of how workflows are assembled.
Triggers start a workflow. Documented triggers include form submission, contact creation, tag changes, payments received, membership renewal, and appointments.
Actions are what the workflow does. They include sending email, sending SMS, applying tags, updating contact fields, creating tasks, adding contacts to campaigns, and internal notifications.
Waits pause the workflow for a set period, so reminder sequences can unfold over time.
If/Else branches route contacts down different paths based on conditions, so recurring renewal cycles or member-type differences can share one workflow.
Testing before activation works like this: a workflow only runs after it is published. A draft workflow does not process triggers and does not take real actions, and publishing validation can block publication while unresolved errors remain. After publishing, test with a dedicated test contact: run a matching event and a non-matching event, turn on Allow re-entry in Workflow Settings so the same contact can run through the workflow more than once, confirm each run in Enrollment History and Execution Logs, and verify the expected emails, tags, field updates, and tasks on the contact record itself. See How to Test a Workflow Before Using It With Members for the complete procedure.
Manage and maintain workflows
Published workflows can be edited, paused, and monitored from the Automation area, with history and logs available for 30 days.
Monitoring: Each workflow has an Enrollment History with a path view showing the route a contact took, and an Execution Logs tab with a step-by-step list where View Details opens the details of any step. Enrollment statuses distinguish Workflow Completed, Removed by Workflow Action, and Removed by External Workflow Action.
Failed steps: A Needs Review tab on the workflows list collects workflows containing errors, so you can open the execution logs and acknowledge the failed executions. Error notifications are off by default; you can turn them on in Workflow Settings to receive an email when a covered action fails.
Settings: Workflow settings include Allow re-entry, stop on response, timezone, send windows, sender details, and error notifications.
Pausing: Published workflows can be paused using configured date ranges from Global Workflow Settings, with contacts pausing at their next action and resuming automatically when the pause ends. See Workflow History and Logs and Workflow Settings for details.
Statistics: Workflow statistics cover email and SMS performance by workflow, with data from January 1, 2023 onward.
Costs: Premium workflow actions (external data processing, direct app integrations, and AI tasks, such as Slack notifications, Google Sheets row management, and custom webhooks) cost approximately $1.00 per 100 executions, and every contract includes an allotment of premium actions. See What is the Cost of Premium Actions?
All workflows can be edited directly by authorized users and do not require assistance from the JourneyCARE team.
Individual contact activity
The Activity section of a contact record shows a known contact's website visits, form submissions, and other tracked activity in one chronological timeline. Open the contact's record and click the clock icon in the right column to reach the Activity section; form submissions recorded there can be opened to review exactly what the contact submitted. See Viewing Member Activity for the walkthrough.
