Import invoices using CSV
Import invoices in bulk from a CSV file to bring historical billing data from another system or a spreadsheet into JourneyCARE. Start from Payments > Invoices & Estimates, prepare a CSV that matches the sample file, map its columns to invoice fields and tax rates, and JourneyCARE emails you a summary of the results.
Prepare your CSV and tax rates
Match your CSV to the sample file's structure and create your tax rates before importing, so every tax column can be mapped during the import.
Go to Payments > Invoices & Estimates.
Click + New in the top-right corner and select Import Invoices using CSV.
Download the sample CSV and prepare your CSV so its columns match the sample structure.
Create the applicable tax rates under Settings > Taxes before you continue, because each tax column must map to a rate that already exists.
Upload and map the CSV columns
Upload the file, map each column to the matching invoice field, and confirm the tax mapping before you start the import.
Upload your CSV file.
Map each CSV column to the appropriate invoice field, including the date fields such as issue date and due date, using the date format shown in the sample CSV.
Map every detected tax column to the tax rate it matches under Settings > Taxes. If a matching tax rate does not exist, create it before finishing the mapping; the import pauses if a tax field remains unmapped.
Click Start Import.
Read the Invoice Import Summary email
After the import finishes, JourneyCARE sends an Invoice Import Summary email to your registered email address with the results.
The count of successfully imported invoices.
A detailed list of failed entries and the specific reason each one failed, such as an invalid date format or an unmatched tax value.
A CSV attachment showing each invoice row's import status.
Import behaviors and limits
Imported invoices are treated as historical records: they create new invoices only and behave differently from invoices created manually in JourneyCARE.
Imported invoices do not trigger automated reminder emails or text messages. Reminder workflows apply only to invoices created manually in the platform.
Imported invoices follow your configured default or global settings for late fees and tips. To disable late fees or tips on a specific imported invoice, edit that invoice after the import.
The import only creates new invoices; it cannot update or overwrite existing invoices.
Multiple tax types are supported as long as each tax exists under Settings > Taxes and is mapped to its column.
There is no strict upper limit on batch size, but import invoices in batches of 500 or fewer for optimal performance and easier error management.
To create and send an invoice manually instead, see Create and send an invoice.
