Customize invoice layouts
Customize how invoices look for your sub-account — branding colors, business and contact details, and line-item labels — from the Invoice Layout customizer, and the layout carries into the PDFs your recipients download and receive by email.
Open the Invoice Layout customizer
Start from the invoicing area under Payments and open the customizer from the invoice settings.
Open Payments > Invoices & Estimates.
Click Settings in the top-right corner.
Select Title, Terms and Layout.
Scroll to Invoice Layout.
Click Customize Layout.
The customizer opens on the Layout tab with a live preview of the invoice, followed by the Labels tab. Layout changes apply at the sub-account level.
Set branding
Choose the colors and button text that appear on your invoices from the Branding Settings section of the Layout tab.

Choose business information
Show or hide your organization's details on the invoice, and add custom values of your own, from the Business Information section.
Show or hide Company Name, Phone, Address, and Tax IDs.
Add up to 3 custom values.
Reorder or delete custom values.

Configure contact information
Rename the section that introduces the recipient, or add custom fields, from the Contact Information section.
Rename the section header, such as Billed to.
Add custom fields.
Choose invoice information fields
Show or hide the standard invoice fields from the Invoice Information section.
Invoice Number
Issue Date
Due Date
Similar invoice fields
Customize line-item labels
Rename the column headers of the line-item table and choose which columns appear, from the Labels tab.
Rename line-item headers, such as changing Item Name to Product Name.
Show or hide Price, Quantity, Tax, Subtotal, and other columns.
Character counters show how many characters a label uses; labels are limited to up to 75 characters.
How hidden fields behave
Fields and labels you uncheck stay out of the invoice your recipient sees, but remain available to your staff while they work.
Unchecked fields and labels are hidden from recipients.
Staff can still edit the values of hidden fields while creating an invoice.
Save or reset your layout
Review the live preview, save your changes, or restore the default layout when you want to start over.
Review the invoice in the live preview.
Click Save changes.
Reset All Changes restores the default layout.
How the layout applies to PDFs
The saved layout applies to invoices created in that sub-account, and downloaded and emailed PDFs reflect it — but PDFs delivered earlier are not regenerated.
Invoices created in the sub-account after saving use the new layout.
Previously delivered PDFs do not change.
Generate a fresh PDF or resend the invoice to use the current layout.
Downloaded and emailed PDFs reflect the saved layout.
