Managing Workflows from a Contact Record
You can manage a contact's workflow participation directly from their record: view the workflows they are in or have completed, remove them from an active workflow, or enroll them in a workflow manually. This is especially helpful when troubleshooting automations or making exceptions for individual contacts.
View a contact's workflows
Open the contact's record and select Workflows from the Actions section in the left panel to see which workflows the contact is currently participating in.
Open the contact's record.
In the left panel, locate the Actions section.
Select Workflows.
You'll see any workflows the contact is currently participating in, including workflows where they are waiting for a future action or scheduled delay. Select the Open Workflow icon next to a workflow to jump directly into the Workflow Builder.
Remove a contact from a workflow
Remove a contact from an active workflow when they should stop receiving that automation, for example after a member cancels an event registration, when a contact should no longer receive a follow-up email sequence, or when an automation was started by mistake.
Open the contact's record.
Go to Actions > Workflows.
Locate the active workflow.
Click the Remove (X) icon.
Confirm that you want to remove the contact.
The contact immediately stops moving through that workflow, and any remaining automation steps will not run.
Manually add a contact to a workflow
Manually enroll a contact in a workflow to grant special access to a member, restart an onboarding process, or trigger an automation without requiring the original form or event.
Open the contact's record.
Go to Actions > Workflows.
Click the Add (+) button.
Select the workflow you want to start.
Confirm your selection.
The contact immediately begins that workflow and proceeds through its steps according to the workflow's design. To enroll several contacts at once, use the bulk action from the Contacts list instead.
Tips for managing workflows
Before manually adding a contact to a workflow, make sure they haven't already completed it or aren't currently active in it.
Removing a contact from a workflow stops future automation steps but does not undo actions that have already occurred.
Opening the workflow from the Contact Record is a quick way to troubleshoot where a contact is currently waiting within an automation.
