Managing Portal Access
You can view and manage a contact's access to portal resources directly from their Contact Record: check which courses, communities, and other portal resources they can access, and manually grant or remove access when needed. Most organizations automate portal access through workflows, but administrators can also manage access manually from one location.
View a contact's portal access
Open the Client Portal section from a contact's record to see every portal resource currently assigned to them, including any courses and community groups.
Open the contact's record.
In the left panel, locate the Actions section.
Select Client Portal.
You'll see the portal resources currently assigned to the contact. Use this view to verify whether someone has access to the resources they expect.
Manage community access
If your organization uses Communities, the Client Portal section shows the groups a contact belongs to, and you can add or remove memberships from there.
View existing group memberships.
Add a contact to a community.
Remove a contact from a community.
This is useful when granting access to committee groups, member communities, or other collaboration spaces.
Manage course access
If your organization uses the Learning Management System (LMS), the Client Portal section also shows the courses available to the contact, and you can adjust that access.

Grant access to additional courses.
Remove course access when appropriate.
This lets you quickly assist members without needing to modify a workflow.
Add or remove access
Update a contact's portal access manually from the Client Portal section whenever a one-time exception or individual change is needed.
Open the contact's record.
Navigate to Actions > Client Portal.
Select the appropriate section, such as Courses or Communities.
Add or remove the desired resource.
The contact's access is updated immediately.
Automatic notification emails
When you manually grant access to a course or community, JourneyCARE automatically sends any notification emails that have been configured for that resource.
Depending on your portal configuration, the contact may receive a community welcome email, course enrollment instructions, login information, or other automated notifications associated with the resource.
Tips for managing portal access
Most organizations use workflows to automate portal access based on membership status, event registration, purchases, or form submissions.
Manual access changes are helpful when making one-time exceptions or assisting individual members.
If a member reports they cannot access a resource, checking their Client Portal section is a quick way to verify whether access has been assigned.
