Using Notes and Tasks
Use Notes to record information about conversations or interactions with a contact, and use Tasks to remind yourself or your team about actions that need to be completed. Both features live in the right panel of a contact's record, where they help ensure important details aren't forgotten and provide additional context when working with members.
Access both in the right column of the contact record. The task icon looks like a clipboard. The notes icon looks like a pencil.
Creating Notes
Notes are a simple way to record information that may be helpful in the future. For example, you might create a note after:
A phone conversation
A member support request
A meeting
A special accommodation request
Any interaction you'd like your team to remember
To add a note:
Open the contact's record.
Select the Notes icon in the right panel.
Click Add Note.
Enter your note.
Save your changes.
Notes remain attached to the contact's record and are visible to administrators.
Creating Follow-up Tasks
Tasks are useful when you need to remember to take action at a later date. For example, you might create a task to:
Call a member back next week.
Follow up after an event.
Review an application.
Check on an outstanding payment.
To create a task:
Open the contact's record.
Select the Tasks icon in the right panel.
Click Add Task.
Enter the task details and any due date.
Save the task.
JourneyCARE will remind you when the task is due.
Viewing Tasks on Your Dashboard
Tasks created from a contact record are also available from your JourneyCARE Dashboard, so you can see all of your upcoming follow-up items in one place without opening individual contact records.
Tasks can also be created automatically by workflows, making them a useful tool for assigning follow-up work as part of your organization's automated processes.
Tips
Use notes to capture information that may be helpful to other administrators.
Create tasks instead of relying on memory for important follow-up actions.
Include enough detail in your notes and tasks so another team member could understand the context if needed.
Review your Dashboard regularly to stay on top of upcoming tasks.
