Use the Add Task workflow action and switch Due In to Dynamic Mode to input a specific date and time — for example, 05-30-2025 03:00 PM — with a custom value or dynamic variable. See Workflow actions for how to add the action.
Create and manage tasks
The Tasks list is the central view of every task in your organization, where you can create, edit, delete, mark as done, filter, and sort tasks. Open it from Contacts > Tasks in the main menu.
Navigate to the Tasks list
Open Contacts from the main menu, then open Tasks. The list view offers filtering, sorting, and bulk actions at the top.
From the main menu, click Contacts.
Click Tasks.
Create a task
Create a task to assign follow-up work to yourself or a team member, with an optional contact and due date. Click + Add Task in the top-right corner and fill in the fields.
Click + Add Task in the top-right corner.
Enter a Title — a brief description of the task.
Add a Description (optional). It supports rich text like bold and URLs.
Set a Due Date and Time for when the task should be completed.
Turn on the Recurring Task toggle (optional) to create a task that repeats on a custom schedule. See Create recurring tasks for how to set the schedule.
Select a Contact (optional) to assign the task to a contact, and an Assignee (optional) to assign it to a team member.
Click Save to save the task, or Save and Add Another to save it and continue creating tasks.

Edit or delete tasks
Edit a task from the Actions column or by clicking its title. Delete tasks you no longer need by selecting them in the list.
Find the task in the list.
Click the pencil icon in the Actions column, or click the task title, to open it.
Update the fields, then save your changes.
To delete a task:
Select the task in the list.
Click Delete.
Deleted tasks can be restored within two months.
Use bulk actions
Update several tasks at once instead of opening each one individually.
Select the checkboxes next to the tasks you want to update.
Mark them as done or delete them.
Work with contact-less tasks
Workflows can create tasks without a contact, and these display as standalone tasks in the Tasks list. When the Add Task workflow action runs with a contact present, the task attaches to that contact automatically; when no contact exists, the action creates a contact-less task. See Workflow actions for how to add the action to a workflow.
To find contact-less tasks, set the Contact filter to Unassigned (or the "no contact" token), optionally adding Assignee and Due filters to narrow the results.
Reminders and notifications are not sent automatically for contact-less tasks. Configure them through workflows using the Task Reminder trigger and Internal Notification workflow action.
Filter and sort tasks
Advanced Filters narrow the list by:
Assignee
Status — All, Due Today, Overdue, Upcoming
Due Date
Custom fields (if applicable)
Sort the list by Due Date, Title, Created At, or Updated At.

How can I schedule a task due at a specific time from a workflow?
Can workflows create contact-less tasks?
Yes. The Add Task workflow action creates a standalone task when no contact is present.
How do I find contact-less tasks?
Filter by Contact = Unassigned or the "no contact" token, optionally adding Assignee and Due filters.
Do reminders and notifications apply to contact-less tasks?
Only if you configure them through workflows — for example, with the Task Reminder trigger and Internal Notification workflow action. They are not sent automatically.
