Make groups private in Communities
Make a Community group private from the group’s Settings by opening Details, selecting Private, and clicking Save. Private groups restrict access to members who are authorized or approved to join.
Understand private-group access
Use a private group when membership is not open to the public.
Typically, people are added to a group through an automation based on something that they've purchased or done in JourneyCARE (paid for membership, filled out a committee interest form, registered for an event, etc.)
However, if someone should happen to discover your group, they may Request to join; the request then shows Membership Pending until it is reviewed. It is up to your organization how you wish to handle these requests.
The group roles determine who can manage access:
Owner: The group creator can assign Admin or Contributor roles, convert the group between public and private, and review and accept membership requests. Another user cannot assign the Owner role.
Admin: An admin can assign Admin or Contributor roles, convert the group between public and private, review and accept membership requests, and change the roles of contributors and other admins.
Contributor: A contributor can participate in the group and its discussions but does not manage group settings or membership.
Create a group before making it private
Create a group first when the group does not already exist; you can customize its branding in the group settings.
Open Portal and Groups, then Communities.
Select + Create Group.
Name and customize the group.
Select Create Group.
Convert an existing group to private
Convert an existing group when only approved members should access its discussions and content.
Open the group and select Settings.
Open Details.
Select Private.
Select Save.
Changing the group type affects membership and content visibility. Switching from Private to Public automatically approves pending requests. Switching from Public to Private restricts previous content to current members.
Approve requests to join
Owners and admins approve private-group requests from the group’s member list.
Open Members.
Open Requested.
Review and accept the membership requests you want to approve.
Control group visibility in the switcher
Use Accessible from switcher to control whether non-members who can access other groups in the subaccount see this group in the group switcher.
