Use the Workflow AI assistant
Workflow AI is an AI-powered assistant inside the workflow builder: describe what you want to build and it recommends the actions and triggers to use, explains how to configure them, and guides you step by step. It opens from the AI icon in the bottom-left corner of the workflow builder.
Open Workflow AI
Workflow AI lives in the workflow builder, so the builder must be open before you can start a chat.
Open Automations > Workflows and open the workflow you want to work on.
Click the AI icon in the bottom-left corner of the builder.
The chat box opens.
Three ways to chat
Workflow AI offers three ways to chat, so pick the one that matches what you need.
Analyze Workflow: click the Describe this Workflow button to have Workflow AI analyze the workflow.
Help Building: click the Assist with Building button to get suggestions for the workflow.
Standard Chat: type your question directly in the text box.
What Workflow AI can do
Workflow AI supports the whole building job, from explaining workflow basics to tuning a finished workflow.
Help with your first workflow: describe your goal and Workflow AI returns the actions and triggers you need and helps you configure them. It can also explain what workflows are and how to use them.
Break down a workflow: ask about a specific part and Workflow AI describes what is happening there, making complex workflows easier to understand.
Make workflows more efficient: it scans the workflow for potential improvements, offers tips, and suggests actions to add.
Step-by-step guidance: Workflow AI guides you through setup, explaining each step.
Answer questions: ask about a specific action or about general workflow best practices. For the full lists of what you can add, see Workflow actions and Workflow triggers.
Add actions: Workflow AI can add actions such as sending an SMS reminder, waiting for confirmation, updating an appointment status, or tagging contacts based on activity.
Suggest next steps: when you are not sure what to do next, Workflow AI suggests the next steps to take.
Manage settings and naming: through natural-language prompts you can rename the workflow and update settings such as re-entry, multiple opportunities, stop on response, timezone/time windows, sender details, and mark conversations as read.
Build a workflow with AI
To build a workflow with AI, describe your goal in the chat, choose from its suggestions, and add them to the workflow.
Type in the chat box and describe the use case you want to achieve. Workflow AI explains which actions and triggers are appropriate, why, and how to configure them.
Choose the best option from the suggestions it provides.
Add the suggested trigger or action to the workflow: select where it should be added. The action is added and the sidebar opens for configuring it. To add a suggested action, click the + button next to it.
Follow the suggested next steps. Workflow AI offers follow-up questions that help you build the next steps of the workflow.
Optionally rate the answer, indicating whether you liked it. Your feedback helps improve Workflow AI.
Example prompts
Workflow AI works well for many common association scenarios, and the more specific your instructions, the better the draft is likely to be. Describe the experience you want to create, and Workflow AI returns the triggers and actions to use.
For example, you might ask it to:
Build a donor thank-you series.
Build a new member onboarding sequence.
Create an event reminder campaign.
Follow up with webinar attendees.
Send renewal reminders.
Create a volunteer onboarding process.
Example prompt: “Build a new member onboarding workflow that sends a welcome email immediately, waits three days, shares member benefits, waits one week, and invites the member to join the online community.”
Review the draft before publishing
Workflow AI creates a draft, not a finished workflow, so treat it as a starting point and review every generated step before it goes live. Check the triggers, filters, timing, emails, conditions, branches, field updates, and notifications.
Before turning on an AI-generated workflow:
Review every step.
Verify all emails.
Confirm trigger filters.
Test the workflow using sample contacts.
Make any necessary adjustments.
Customize the workflow to fit your organization, and never publish an AI-generated workflow without testing it first. A workflow runs only after you Publish it, so test with sample contacts and review the results before it affects your members.
Restore a version from the chat
Every build or edit Workflow AI produces shows up as an artifact card in the chat, and any iteration can be restored in one click, so you can experiment without losing work.
Artifact cards: each AI build or edit appears as a card in the chat, at the point where the change was made.
Current version indicator: the card matching the canvas carries a purple border, so the active iteration is always identifiable.
One-click restore: open the three-dot menu on any older card and select Restore this version. The canvas reverts instantly.
Non-destructive: restoring an older iteration keeps newer ones restorable, and iterations can be moved between freely; none are destroyed.
Unsaved indicator: when auto-save is off for the location, cards display an Unsaved pill until the workflow is saved manually. The pill does not appear when auto-save is on.
Show in version history: opens the Version History tab, where AI and manual versions appear in one unified timeline. Version History remains the single source of truth for version numbering.

Analyze a workflow
Click Describe This Workflow to get a detailed overview of the entire workflow from start to finish, including details about the steps in it.
This is useful when you forgot why a workflow was built or when new team members are learning your processes.
Clear or export a chat
Click Clear Chat to start over, or Export Chat to download a copy of the conversation.
To start a new conversation, click Clear Chat in the top-right corner of the Workflow AI chat box. The previous chat disappears and you return to the first step, where you choose what Workflow AI should do.
To keep a record, click Export Chat to download a copy of the current conversation.
Exporting only exports the current conversation. Previous conversations you've had with Workflow AI are not included.
Usage limits
Workflow AI no longer uses AI credits, and features such as Generate with AI (SMS, emails, code, and more) do not track credit consumption.
To keep performance fast for all users, a fair usage limit may apply. If you reach the daily limit, access resets in 24 hours.
Workflow AI is available to anyone with access to workflows.
