Set gift card permissions for staff

You decide exactly which gift card capabilities each team member gets from Settings > My Staff: open the person's Roles & Permissions, open the Gift Cards section, and select the permissions that match their role. Admins keep full access by default, while other roles can be configured with only the gift card capabilities they need.

Set gift card permissions for a team member

Permissions are set per user, so repeat these steps for each team member whose gift card access you want to change.

  1. Go to Settings > My Staff.

  2. Select the staff member you want to configure.

  3. Click the Edit icon.

  4. Open Roles & Permissions and go to the Gift Cards section.

  5. Select the permissions appropriate for that user (see the list below for what each one covers).

The eight gift card permissions

Each permission controls a different part of the gift card workflow, from viewing orders to issuing and deleting cards.

  • View Gift Card Orders: view the list of issued gift cards and their gift card order information.

  • View Gift Card Products: access gift card products and view their configurations.

  • Create/Edit Gift Card Products: create new gift card products or modify existing ones.

  • Access Sell Link / Share via QR: access and share the dedicated sell link or QR code for a gift card product.

  • Send Gift Cards: directly issue gift cards to customers through the send flow.

  • View Full Gift Card Code: control who can reveal the complete gift card code from the details page.

  • Access Gift Card Details Page: open and view detailed information for individual gift card orders.

  • Delete/Deactivate Gift Cards: control access to deletion or deactivation actions.

Limit visibility to assigned data

For Users, permissions also support assigned data granularity: there is an option to show a team member only their assigned data instead of all data, even when page access is granted.

How permissions are enforced

Permissions apply to both the interface and the underlying actions. For example, a support team member can be given access to view Gift Card Orders without being allowed to send gift cards, change gift card products, or reveal the complete gift card code.

The full gift card code is protected separately: a user without View Full Gift Card Code cannot access it from the gift card order details page, even with access to the details page itself.
