Company records and relationship history
Daily staff workflow for individual and company records
Contact records hold custom fields, tags, communication history, activity, payments, documents, notes, tasks, and associations to companies. Staff search, create, and update these records from Contacts. Custom fields are created in Settings > Custom Fields, where they can be reordered, grouped into folders, and located with Search Fields.
Companies are managed under Contacts > Companies. The company list shows company details and custom fields, supports advanced filters and sorting, and lets you configure which columns appear. For a walkthrough of the record layout, see Understanding the contact record. To add your own fields, see how to create custom contact fields, and for company management see Understanding Companies.
Company records support contact associations, custom fields, and Smart Lists. A company Smart List saves your filters, sort order, and visible fields, updates automatically as company data changes, and can be exported or shared with other users under Can view or Can edit permissions. See Smart lists in Companies for how these saved views work.
An email-domain feature can also associate contacts with companies automatically, which keeps company membership views current as contacts are added.
Primary and role-based contacts
Contact records can be associated with companies, and workflow automations can update contact fields and tags automatically as your data changes.
How primary contacts and role-based contacts (such as Billing, Admin, Marketing, or board representative) are maintained would be dependent on customizable automations that each organization can set for themselves. With the right automations in place, lists can automatically update in real-time when an underlying role, such as a board appointment, changes.
An employee changes firms
The default email-domain automation that associates contacts with companies respects existing associations and does not overwrite them, so moving a contact to a new employer would be a manual change rather than an automatic one, unless the organization has set up a custom automation to do so.
See Automatically create and associate companies from email domains for how the association rules work.
