How forms update contact records
Every JourneyCARE form submission becomes part of the contact's permanent record. When someone submits a form, JourneyCARE links the submission to a contact record, and fields on the form can update that contact's information automatically.
Every submission links to a contact
When someone submits a form, JourneyCARE looks for an existing contact record. In most cases, JourneyCARE matches the submission using the contact's email address. If a matching contact is found, the submission is added to that person's existing record; if no matching contact exists, JourneyCARE creates a new contact record so the submission can be tracked.
Form fields update the contact record
Submitting a form doesn't just save the response; it can also update the contact's information. If a form includes fields such as phone number, mailing address, committee interests, membership preferences, or other custom fields, the submitted values are written to the corresponding fields in the contact record, so your database always reflects the contact's most recent information.
When a form uses an existing contact field, submitting the form updates that field with the new value. This lets members keep their information current without staff making manual changes.
How this differs from standalone form builders
With many online form builders, responses are stored separately from your member database. You typically have to export responses, review the information, update your member records manually, and import data into another system if needed.
JourneyCARE eliminates these extra steps. Because forms are built directly into the platform, responses become part of the contact's record immediately and can be used by workflows, Smart Lists, communications, reporting, and other JourneyCARE features.
Tips
Reuse existing contact fields instead of creating new ones. This keeps your database organized and ensures information is updated consistently.
Remember that updating a form response also updates the associated contact field when the same field is used.
Review the Activity section of a contact record whenever you need to verify how or when someone submitted a form.
