No. Ticketed and RSVP event types cannot be switched after the event is created. If you selected the wrong type, create a new event with the correct type.
[NEW-BETA] Create and manage ticketed and RSVP events
Open Events from Portal and Groups in the left sidebar, then create your event, configure tickets and settings, and publish it. JourneyCARE Events handles the full lifecycle — public event page, ticketing or RSVP registration, schedules, speakers, notifications, and attendee check-in — in one place.
The Events feature is currently in beta. It will replace the form-based process in Event Registrations with Forms.
What Events are for
Events is built for public-facing experiences that need registration, tickets, schedules, speakers, attendee tracking, or check-in, and it keeps those next to your contacts, payments, and marketing tools.
This is different from the calendar events you add in Add an event to the calendar and from Community Events, which are for events hosted inside community groups.
Choose the event type and location
The event type and location determine how attendees register, whether payment is required, and how they access the event, so choose them at creation time.
Category | Option | What it does | Best used for |
|---|---|---|---|
Event type | Ticketed | Sell tickets with multiple pricing tiers, including free and paid ticket types. Attendees complete a checkout flow before registration is confirmed. | Paid events, VIP tiers, conferences, workshops, concerts, paid webinars, and events with limited ticket inventory |
Event type | RSVP | Create a free event where guests confirm attendance without a payment step. | Free meetups, community events, weddings, internal events, free webinars, and open-house events |
Location | In-person | Add a physical address. The public event page shows the location with a map and a Get directions link. | Venue-based events, local meetups, conferences, workshops, and live performances |
Location | Online | Add a session title, meeting URL, optional image, and joining instructions. You control when the join link becomes visible to registered attendees. | Webinars, virtual workshops, online classes, livestreams, and remote sessions |
You cannot switch between Ticketed and RSVP after creating the event. If you picked the wrong type, create a new event.
Create a new event
You build the event in Draft status first; it is not visible to the public until you publish it.
Open Events
In the left sidebar, go to Portal and Groups and click Events. The dashboard shows all events with their status (Draft, Published, RSVP, or Ticketed), and you can filter by status or search by name. Click + Create Event in the top-right corner to start.
Choose the event type
Pick how attendees join: Ticketed or RSVP. You cannot switch between them later.
Add the event details
Event name — up to 100 characters. This is the headline on your public page.
Cover image — PNG, JPG, or GIF. Recommended size 1920 × 1080 px. Maximum file size 5 MB.
Short summary — up to 160 characters. This appears in the hero area of the public page.
Event description — rich text editor with bold text, lists, links, and images.
Set the date and time
Enter the start and end date and time, choose the event timezone, and pick the display format (12 or 24 hour). The display format controls how event times appear on the public page, and ticket sale periods, session times, and coupon active periods all use the event timezone.
Set the location
For in-person events, enter a physical address; a map and Get directions link appear on the public page. For online events, add the online attendee page title, meeting URL, optional image, and short joining instructions.
For online events, also choose when the meeting link becomes visible: Hidden until event starts (attendees see that the join link is shared after they register) or Custom schedule (minute-level control of when the link appears and disappears).
Add organizer information
This appears in the Hosted by section of the public event page.
Organizer image — PNG, JPG, or GIF. Recommended size 400 × 400 px. Maximum file size 5 MB.
Organizer name — required.
Email address — required.
Website URL — optional.
Phone number — optional.
Click Create event to save. The event is now in Draft status.
Create ticket types
On the Tickets tab, click + Add Ticket Type and configure each type.
Ticket name — up to 100 characters, such as General Admission or VIP.
Pricing method — Fixed price or Free.
Price — the ticket price when Fixed price is selected.
Quantity — the number of seats available for this ticket type.
Sale period — the start and end date and time when the ticket can be purchased.
You can create as many ticket types as you need and mix free and paid tiers on the same event. Sale period times use the event timezone, which is shown at the bottom of the ticket panel.
Add coupon codes
Create discount codes on the Tickets → Coupon Codes page.
Coupon name — an internal label, such as Early Bird.
Coupon code — the code attendees enter at checkout. Type a custom code or click Generate.
Coupon type — currently supports Percentage coupons.
Discount — percentage off, such as 20 for 20%.
Active period — the date range during which the code is valid.
Usage limits — optionally limit total redemptions or restrict the coupon to specific ticket types.
Attendees apply the code by clicking Have a coupon code? on the ticket selection screen. Event coupon codes apply only to Events, not to other JourneyCARE products.
Add schedule and speakers
Build your event agenda on the Schedule tab.
To add a session, click Add schedule and enter the title, day and time slot (must fall within the event window), stage or location, description, and assigned speakers.
To add a speaker, click Speakers in the sub-navigation, then + Add speaker, and enter the speaker's name, tagline, photo, description, keynote status, and social links.
Customize the public event page
Three sub-tabs on the Public pages tab control the attendee experience.
Details — toggle and reorder page sections, including About this event, Tickets, Schedule, Speakers, Location, Hosted by, and Frequently asked questions. Enable attendee count display if you want it.
Schedule — customize how the schedule appears on the public page.
Checkout — set the checkout title and form fields. First name, last name, and email are locked as required. Add custom fields and optionally require attendees to accept terms and conditions.
Style changes, such as colors, typography, and template, apply across all three pages. Use the real-time preview on the right side of the editor to review desktop and mobile views.
Configure registration settings and notifications
On the Settings tab, configure the registration settings.
Deadline — the date and time after which registrations close. By default this is the event start time.
Capacity — the maximum total registrations across all ticket types. Set to 0 for unlimited.
Check-in — QR code check-in is enabled by default for in-person events. Choose which payment statuses allow entry.
Live mode — turn this on before going live. When Live mode is off, the event runs in test mode and no real payments are processed.
Then configure the notification settings: For organizers (new registration alert and daily summary email), For attendees (registration confirmation and reminder email), and Sender settings (from email and from name used on event emails). The daily summary email is sent at 9:00 AM in the event timezone.
Track events with Meta Pixel
Add a Meta Pixel ID from Event Settings > Link & tracking to track attendee conversions for RSVP and ticketed events. This is available to Events Beta users.
Configure tracking independently for each supported step in the attendee journey.
RSVP events: Event page viewed, RSVP started, RSVP completed.
Ticketed events: Event page viewed, Checkout started, Ticket selection completed, Registration form submitted, Payment details submitted, Ticket order completed.
Completed ticket orders are tracked for $0 orders as well as paid orders. Ticket-order events can send the order value, currency, ticket quantities, and ticket identifiers. Session-based deduplication prevents repeated reporting during browser back navigation, page refreshes, payment redirects, and repeated completion checks.
Publish the event
Click Publish event in the top-right corner when setup is complete. Your event goes live with a public URL that attendees can visit to register.
After publishing, use the three-dot menu to share the event link, duplicate the event for future use, unpublish it to take it offline while preserving registrations, archive it to remove it from the active list while keeping it restorable, or delete it permanently.
Manage registrations
Once the event is live, use these tabs to manage attendees.
Registrations tab — view registrants, total tickets issued, revenue, and refunded registrations. Search by name or email, filter by status or date range, and manually add attendees with the Add Attendee button.
Check-in tab — use QR code scanning to check attendees in at the venue in real time. Only registrants with an allowed payment status, such as Succeeded, can be checked in.
Organizers issue refunds from the Registrations tab. Click the three dots to the right of a registrant, then choose Full refund or Partial refund and confirm. Attendees cannot request refunds through the event platform, and refund timelines follow the payment processor's standard windows. Canceling or unpublishing an event does not automatically refund attendees — process refunds manually from the Registrations tab. For a ticket transfer, update the attendee details in the Registrations tab or cancel the original registration and manually add the new attendee.
Attendee experience
Attendees select a ticket type and quantity, can enter a coupon code for a discount, and see the order summary update in real time. When payment is required, they enter their details, billing address, and card information with the order summary still visible.
After registering, every attendee who purchases a ticket or RSVPs receives a ticket with a QR code. See Check in attendees at an in-person event for the check-in steps.
Frequently asked questions
Can I switch an event from Ticketed to RSVP after creating it?
Can I offer free and paid tickets on the same event?
Yes. Ticketed events can include both free and paid ticket types.
Can I control when an online event link is visible?
Yes. Keep the join link hidden until the event starts or use a custom schedule to control when it appears and disappears.
How do I refund an event ticket?
On the Registrations tab, click the three dots to the right of the registrant and choose Full refund or Partial refund. Attendees cannot request refunds directly through the event platform. Refund timelines follow standard payment processor windows.
Does canceling or unpublishing an event automatically refund attendees?
No. Canceling or unpublishing an event does not automatically trigger refunds. Organizers must process refunds manually from the Registrations tab.
Are recurring or multi-date events supported?
Currently, not supported in the beta.
How do organizer payouts work?
Ticket revenue is processed through the connected payment provider, such as Stripe, and payout timing follows the schedule set in that provider's account. No additional platform fees are charged on top of standard credit card processing charges.
Can attendees transfer tickets to someone else?
There is no self-serve ticket transfer option for attendees. The organizer must manually update the attendee details in the Registrations tab, or cancel the original registration and manually add the new attendee.
Can staff manually add attendees?
Yes. Use the Add Attendee button from the Registrations tab to add someone without requiring them to complete public checkout.
